What it's for

The club's book: one line per movement, newest first. Kinds: Membership fee, Entry fee, Add-on, Card fee, Refund, Credit issued, Credit used, Waived, Dispute, Dispute fee, Payout, Adjustment. Three figures at the top: IN, OUT (refunds, fees, disputes, payouts) and OPEN DISPUTES (chargebacks to answer in Stripe). When there are disputes they sit in their own table above the ledger with the Stripe dispute reference.

Steps

  1. Open Members › Money reports › Ledger.
In, Out, Open disputes, then every line
    Ledger
  2. Under Show, pick a kind (or Everything) and press Filter.
  3. Read a row: when, who, what, how (card, cash, bank), amount, status, receipt number.
  4. Press Refund on a settled membership, entry or add-on row to open the refund desk (see Refunds and credits).

What success looks like

Every payment, refund and payout the club knows about is a line here, and the receipt numbers match the receipts people were sent.

If something goes wrong

  • OPEN DISPUTES is above zero: a cardholder has charged back. Answer it in Stripe with the entry form, the confirmation email and the policy they accepted; Stripe charges a fee per dispute.
