Refund policies
Write one or two refund policies in plain fields, pick one per event; the wording entrants read is drafted from the numbers.
What it's for
The rules the refund desk quotes from. A policy is a handful of fields: what happens If the athlete withdraws (more than N days before, between then and the day before, on race day or no show), If the club cancels the race (before race day, on race day), an Administration fee per refund, the Membership fees rule, and the Wording shown to entrants. One policy is the default; each event can pick another. The shipped default: withdraw more than 7 days before, 100% back less the card fee; 1 to 7 days, 50% or a credit; race day or no show, nothing; club cancels before the day, full refund or credit, their choice; on the day, 50% or a credit; memberships refundable for 14 days; no admin fee.
Steps
- Open Members › Money reports › Refund policies.
The policy cards, and which policy each event uses - Open + Add a refund policy (or an existing card). Type the Policy name and tick Use for every event unless another is picked if it is the default.
- Fill the numbers under If the athlete withdraws and If the club cancels the race, the Administration fee per refund (an amount or a percentage), and Membership fees (refundable for N days or not refundable).
- Leave Wording shown to entrants blank to have it drafted from the numbers, or write your own. Draft the wording from the numbers rewrites it.
- Press Add policy (or Save policy). Remove asks for a second tap.
- Under Which policy each event uses, pick the policy for each event; the pick saves on its own.
What success looks like
The entry form and the pay page show the wording, and the refund desk's Policy says line quotes your numbers.
If something goes wrong
- A number saves lower than you typed: the floor applies; a policy cannot remove the credit or the full refund when the club cancels before the day.
