What it's for

Two sides of one list. The volunteer opens your sign-up link on their phone, picks roles and days and lands in your Volunteers group. You see every sign-up per day here, print the sign-in sheet, and mark who showed.

Before you start

  • Positions ticked OPEN FOR SIGN-UP on the Volunteer roster, and the link shared.

The volunteer's side (the public page)

The link is /v/… on your Race Bureau address. No account, no password.

  1. The page opens as Volunteer with (your club) — Sign up for the roles and days you can help.
Pick your roles, per event and per day
    The public volunteer sign-up page
  2. Under Pick your roles the volunteer ticks roles on each day. A role shows 3 of 4 filled or Full · join waitlist.
  3. A couple of questions appears once a role is ticked: Need a lift pass for Day 1? per day, and Have an NZSki MyPass card? (or Have a resort season pass?, by club) with the card number — used only for the volunteer coffee voucher. Your custom questions follow under A few more questions.
  4. Under Your details they enter Your name, Email, Phone (optional), and tick I'm under 18 if so (then a guardian's name and phone).
  5. They press Confirm N roles. The page shows 🎉 You're on the team — N roles confirmed. You've been added to the (club) Volunteers channel; race-day updates come through there. A full role puts them on the waitlist and says so.
  6. From here they can 📅 Add my days to calendar or Sign up for more.
  7. Opening the link again shows Your sign-ups. On the day itself each confirmed role has a ✓ I'm here button; pressing it marks them ✓ Checked in. Cancel drops a sign-up.

Your side (this screen)

  1. Open Crew › Sign-ups & attendance. Each day is a block: Day 1 · GS · date · 22 confirmed · 7 lift passes.
    Volunteer, role, lift pass, attendance
Sign-ups per day with attendance buttons
  2. Each row shows VOLUNTEER, ROLE, LIFT (🎟 when a lift pass was asked for) and ATTENDANCE.
  3. On the day, press Showed or No-show on each row. A volunteer who pressed ✓ I'm here on their phone is already marked.
  4. Remove takes a sign-up off the list.
  5. Use the buttons at the top: ⬇ Export CSV, 📋 Roster report (.xlsx), 🖨 Sign-in sheet (a paper list to tick), 📣 Remind via Comms (a reminder into the Race Relay group).

What success looks like

Every open position has the sign-ups you need, the lift-pass count matches the passes you ordered, and after race day every row is marked Showed or No-show so the Volunteer report is right.

If something goes wrong

  • A volunteer sees Link not valid: the link was regenerated or replaced. Share the current one from the roster.
  • A role is Full before you expected: raise its cap on the roster.
  • Nobody lands in the Volunteers group: the group is created the first time the link is made; check Groups.
