Accounts and access levels

One club account, the people invited onto it, the built-in and saved levels, Off or On per step and screen, what is always a person's own, what is admin-only, what a timer or TD invited for one event sees, and support visits.

What it's for

One sign-up makes one club account; everyone else is invited onto it with an access level, or invited to one event from outside it. A level is a grid of switches — every step, every screen under it and every Settings page is Off or On — and the club keeps its own version of the built-in levels plus any it names. All of it lives on one Settings page, Team & access (an old Users & access, Access levels or Tabs & features link lands there too).

The chain

  1. The account — the person who signs up is the club's creator and its SUPER ADMIN; the club's name, address and listing live under Club details. → Create your account · Club details
  2. Who does what — organiser, timer, TD, coach, volunteer, member, spectator: only the people who work in the workspace have a login on the club's account. → Who does what
  3. Invite a user — Settings › Team & access › INVITE: the Email and an Access level (Admin, Full Race Bureau, ROC, Timer or a club level), Send invitation. The person is listed under PEOPLE as Invited until they accept; Change on their row sets the level later. → Team & access
  4. The levels — under ACCESS LEVELS pick a level to see its grid: one row per step (Events, Set up, Crew, Entries, Bibs & start lists, Race day, Timing Desk, Results & publish, Members, Settings), each Off or On, with › opening the screens under it so one screen can be Off inside an On step; a screen is never more than its step. Full Race Bureau is everything On; ROC switches the timing steps Off; Timer switches the organising steps Off. + New level names a club level (for example Treasurer); Reset to default puts Race Bureau's version back. Only a super admin saves a level. → Access levels
  5. Always a person's own — the rows Settings › You (Profile, Sign-in & security, Display) and the workspace pages (Side menu, List formats & export, the Help pages) are never switched off for anyone; the active-race controls, the account menu, Settings and Log out are always there. → Profile · Display · Side menu
  6. Admin-only — Plan & billing opens for account admins only; Team & access is always listed, and draws only what you may do. → Plan & billing
  7. My view — under MY VIEW each person picks which level they use for themselves; Off there only hides, and an owner or super admin switches back any time. The old Tabs & features page is this card. → Tabs & features
  8. Invited for one event, from outside — a timer or TD invited under Set up › OFFICIALS gets no seat on the account: they see that event only, for the races ticked under Event access & chat, and the invitation ends when the event is archived. Team & access › Invited to events lists them read-only. A timer gets full rights on the event and runs the Timing Desk; a TD gets their own door. → Invite Timer · Invite TD · Profile access
  9. Support visits — Race Bureau support opens the account only for a visit you asked for; every visit is listed at the foot of Team & access, anyone signed in is told, can follow along or press Do not disturb. → Request support

A timer invited for one event versus an account user

  • Account user — signs in to the club's account; the rail shows the steps their level has On, for every event of the club; can be given Create event.
  • Invited timer — signs in to their own account; sees only the events they were invited to, with the races ticked for them; full rights on that event (publish, entries, draw, desk); admin of the event's Race Relay group; never a club admin; cannot create events on the host club.

What success looks like

Every person who works in the workspace is under PEOPLE with the level you meant, a club level you made is offered the next time you invite, and an invited timer sees your event and nothing else.

If something goes wrong

  • You cannot see Change, Remove or Save on a level: you are not the club's super admin.
  • A step a user needs is missing: their level has it Off; a super admin switches it On under ACCESS LEVELS, or they pick a wider level under MY VIEW if their own level allows it.
  • Someone needs their own club account rather than a seat on yours (another club, a timing business): they sign up at racebureau.com.
  • A timer should not see one race: untick it under Event access & chat and Save races.
