What it's for

One screen per group for the people who run it: hand out the QR code, let people in, decide who may post, move someone to another group.

Steps

  1. Tap ⚙︎ › the group under Groups, or long-press the group on Chats and tap 👥 Manage group · invite.

The group's QR code leads; the invite link sits under it
  2. Show the QR code on your screen for people to scan, or copy the Invite link (Copy, or WhatsApp to send it there).
  3. Under Waiting to join tap + Add or Deny for each request.
  4. Under Members, use the pills on a person: Admin, Post, Add to (joins another group, stays here), Move (leaves this one), Remove (tap again on Sure?).

Other controls

  • Add a coach by email — Coaches groups only. Type the email and + Add; the coach joins when they confirm by email, and sees your released lists at once.
  • Search a name… appears once a group has more than five members.
  • Add member manually — a name only, for someone without a phone.
  • Only admins can send messages — members read, admins post. The group shows READ-ONLY on their phones.
  • Clear chat… — removes every message; members and documents stay.
  • Delete group… — tap again to delete for everyone. A group you did not make cannot be deleted here.

Removing a coach, timer or TD asks one more question: Remove from chat (they keep their access to your events) or Remove + revoke access.

What success looks like

The person scans the QR code and lands in the group with no approval step; their row appears under Members with their role chip.

If something goes wrong

  • That didn't work — are you an admin of this group? — only a group admin can add a coach by email.
  • Someone can read the chat but is not on the members list: they joined on another phone. Each phone is a row; see Devices.
